How to Drive Year-Round Employee Engagement with Your Onsite Clinic

There are certain times of year when health benefits are top of mind for your employees, like open enrollment season and the height of flu season. Keeping communication fresh and wellness a priority year-around can be challenging. Consistent, creative communication ensures that employees not only know their onsite clinic is available, but also view it as a trusted and accessible resource. 

Consider Quarterly Challenges 

Wellness initiatives work best when they feel timely and relevant. While year-long programs risk losing momentum and monthly activities can feel overwhelming, quarterly challenges strike a good balance. Employees have enough time to participate meaningfully, see results, and stay motivated. Tying challenges to the season can also keep them timely. For example,

Health awareness campaigns are built into the calendar, making them easy anchors for communication.  

Highlighting onsite services related to these observances helps employees stay aware of clinic offerings and take action for their health. A reminder about preventive screenings during Breast Cancer Awareness Month or a blood pressure screening event during Heart Month not only provides value, it positions the clinic as the first place to go for care. 

Use Multi-Channel Communication 

Different employees get their information from different sources, so benefits communication should not rely on a single format. A mix of email reminders, digital signage, and printed materials can cover all bases. Short, simple messages often have the greatest impact. For instance, an email with the subject line “Need a quick check-up? Your onsite clinic can help” keeps the resource visible without overwhelming inboxes. Rotating clinic materials across multiple channels reinforces the message that the clinic is available and easy to access year-round. 

Bring the Clinic Into the Workplace 

While the clinic may be on-site, it still helps to bring it into the day-to-day rhythm of work. Consider periodic “wellness days” where providers visit departments to introduce themselves, answer questions, or give mini wellness talks. Dedicated flu shot clinics or health risk assessment days capture baseline data for year-round health and promote further awareness. These efforts making employees more likely to seek care at the clinic when they need it.

Tracking engagement metrics such as participation in challenges, preventive visit rates, or flu shot visits helps HR leaders understand what resonates. Using this data to refresh communication ensures that messaging stays relevant and clinic services are tailored to employee needs. The goal is not just to promote the clinic, but to create a workplace where using it becomes part of the culture. 

Keeping an onsite clinic top of mind requires more than a once-a-year reminder during open enrollment. Through quarterly challenges, health observances, multi-channel communication, and visible presence across the workplace, HR leaders can ensure employees view their clinic as a resource year-round.
