Building a Better RFP – What to Ask When Evaluating Health Center Partners

A strong RFP doesn’t just ask about pricing—it asks the right questions to uncover a vendor partner’s capabilities, values, and vision.

Start with a clear overview of your organization, your employee population, and your goals for the health center. Then, outline the scope of services you’re seeking—primary care, mental health, occupational health, chronic disease management, etc. 

Key Questions to Ask

To truly evaluate a health center partner, include questions that go beyond the basics: 

  • Clinical Quality: What metrics do you use to measure health outcomes? Describe your approach to managing chronic conditions. 
  • Patient Experience: How do you measure patient satisfaction? What is your average appointment wait time? 
  • Technology Integration: Can your platform integrate with our existing HRIS or benefits systems?

  7. Project Management & Timeline

    • Is the timeline realistic and well-structured?
    • Are project management practices clearly defined?
  8. Pricing & Cost Structure

    • Is the pricing competitive and transparent?
    • Are there any hidden costs or unclear terms?
  9. Risk Management

    • Are potential risks identified and mitigated?
    • Is there a contingency plan?

    • Are there any red flags in the terms and conditions?
    • Is the vendor compliant with legal and regulatory requirements?

Pro Tip: Ask for Case Studies - Request case studies or client references that demonstrate the vendor’s ability to deliver results. Look for examples that align with your goals—whether that’s reducing ER visits, improving chronic disease outcomes, or increasing employee engagement.

  • Scoring Matrix: Assign weights to each criterion based on importance.
  • Evaluator Comments Section: Allow evaluators to justify scores.
  • Thresholds: Set minimum scores for critical areas (e.g., compliance, experience).
